Agenda, Minutes & Decisions of Council, Committee of the Whole Council, City Council's Finance Committee and other Adhoc Committees

The proceedings of City Council and its Committees are governed by Council's Procedure Bylaw, being Bylaw No. 10 of 1989, as amended. The City Clerk & Director of Legislative Services maintains that Bylaw in an up-to-date and usable format as required by City Council and ensures compliance with the various aspects of the Bylaw.

The City Clerk & Director of Legislative Services prepares and delivers the Agenda for all regular and special meetings of Council and Committee of the Whole Council by Thursday in the week prior to the meetings. All items to be included on any of the Agendas must be received by 4:00 p.m. on the Tuesday in the week preceding the meetings. All materials received by the deadline are compiled into the appropriate agendas, electronically scanned, as well as hard copied and delivered by mid-day Thursday pursuant to the current distribution list. The agenda package is also inserted on the City’s Web Page for public viewing at that time.

The Office of the City Clerk & Director of Legislative Services is also responsible for preparation of the Council Chamber for each Council Meeting, which includes general set-up as well as special provisions, which may be required from time to time.

After the Council meeting is held, the City Clerk & Director of Legislative Services or her designate prepares the Minutes of the meeting. In addition, the City Clerk & Director of Legislative Services provides official correspondence to interested parties to advise of the disposition of items of interest, which have been considered by City Council. City Council's decisions and instructions are also communicated to the respective Department Heads for their further follow-up.


Additional Boards and Committees

The Office of the City Clerk & Director of Legislative Services also works with Committee of the Whole Council, City Council's Finance Committee, and other Adhoc Committees as may be required.

Service is provided to each of the Boards and Committees in the same manner as to City Council in that the City Clerk & Director of Legislative Services calls meetings as required, compiles and prepares all agendas, distributes agenda material to all members and advisory officials, and attends Board and Committee meetings to record decisions reached.

The City Clerk & Director of Legislative Services is then responsible to provide administrative instructions following each meeting, or alternately to prepare Committee reports for forwarding to Committee of the Whole Council or City Council providing the Committee's recommendations for consideration.
